The Administrative Support 2 will be responsible for providing confidential secretarial and administrative support services to the department/unit. This includes effectively and efficiently managing communication and liaison, establishing and maintaining administrative systems, and managing various types of documents and records.

 

Duties & Responsibilities

  • Provide administrative and secretarial support to the Manager and Examinations Committee.

  • Coordinate and support all examination processes, including preparation, packaging, and room audits.

  • Recruit, train, schedule, and process claims for Invigilators.

  • Prepare, print, and distribute examination cards and related materials.

  • Maintain confidential manual and electronic records and databases.

  • Process purchase orders, requisitions, and budget-related documentation.

  • Compile examination, expenditure, and budget reports.

  • Record minutes and provide secretariat support for committee meetings.

  • Liaise with internal departments, students, suppliers, and other stakeholders.

  • Perform general clerical and office administrative duties as assigned

Experience & Education

  • Diploma in Administrative Management or a related discipline
  • At least two (2) years’ experience in a secretarial post

Knowledge Skills & Abilities

  • Sound knowledge of standard office procedures and practices
  • Sound knowledge of records and file management systems and techniques
  • Knowledge of telephone etiquette and techniques
  • Good communication, interpersonal, customer service, reasoning, time management, mathematical and computer skills
  • Ability to handle multiple tasks simultaneously.
  • Ability to demonstrate flexibility; work on own initiative and under pressure.
  • Ability to carry through procedures with minimum supervision.
  • Ability to remain calm and composed when dealing with difficult people, situations and frequent interruptions.

Salary range: $2,190,302.00 p.a. – $2,945,713.00 p.a. (Band 5)
